Ok people good news and bad...
First the bad, the don't have any transportation services exexpt the airport shuttles and the good, the REALLY good, both of these have awesomely cheap rates. Maybe one you who lives around that area can give me a better idea of which one is actually closer to the theatre.
Also, if we make group reservations, (though I'm not sure how we'd work out the logistics of payment ) we have up to 30 days before the arrival date to cancel rooms or change the reservation in anyway. Also standard rates aren't that much higher I think they said are as high as $78 so we could save quite a bit if we go this route, anyway onto the info...
There are two Best Western hotels that we could get group rates which are pretty darn cheap. I was informed that the Raleigh Inn and Suites was 6 miles from downtown that has double rooms available @ $64 per night +13% tax they have the following amenities:
Complimentary continental breakfast - includes juice, bread or sweet rolls and coffee
Indoor pool Exercise facility
Weight lifting equipment Interior corridors
Hearing impaired services Air-conditioning
Ice/vending machines Elevator
24-hour front desk Wheelchair accessible
Truck/RV parking Free parking
Business center Meeting facilities
Dataports Photocopy services, 24 hours
Fax services Catering staff
Free high-speed Internet access
There is another hotel called BW Raleigh North which I was told is approx 3.6 miles from downtown. The rates for this one are $66 for Thurs and $61 for Fri and Sat. These are the amenities Manager's reception with complimentary cocktail 5:30 p.m. to 6:30 p.m.
Outdoor pool Multilingual staff (English and Spanish) Guest laundry Safe deposit box Elevator Interior corridors Ice/vending machines Free parking Meeting facilities
Fax services Photocopy services Free high-speed Internet access
We of course aren't limited to the BW, I've found this to be the cheapest. Please everyone let me know what you think and if you have any more/better ideas about how to get this all organized.

Did you find out how soon we have to make a group reservations (I know we have until 30 August to make changes, but is there a deadline to secure our rooms at the group rate?)
Count me in, and since I know both you and Montana girl have mentioned that you wouldn't find sharing a room, I'd be happy to share one with one/both of you.
Also, put Ath down, because he's definitely coming, but he's going to have to find his own roommates.
I can't really tell which Best Western seem the best choice. Maybe Soul or another NC resident could let us know if one's better/closer, etc. than the other.
Also, it seems we should be able to arrange to pick up/drop off anyone that's flying in. There should be enough of us, right? So they don't have to pay for the shuttle service to/from the airport.
Let me know, Mai (and everyone else), if there's anything I can help with. It takes alot of work to coordinate something like this. But it's going to be GREAT!!! Can't wait.

Way to think ahead callmeserenity...I hadn't even thought about getting everyone picked up. Surely we can come up with some kind of schedule between us all...
Though honestly...Can you imagine standing in an airport with signs bearing the names of some of the people from this site?

Speaking as an once hotetl employee I've learned that its always best to make group reservations (of course depending on the size)at least one month ahead of time or more. Of course with the BW group change/cancel policy of 30 days before we might have to get in gear by the end of june/1st of july. According to the BW, groups are 10 rooms or more. So, my next question is, since we plan on sharing do we need 10 rooms? More than 10 rooms? I'm guessing there might be a few folks who'd prefer their own room or will be traveling with a significant other and not want to share.
The airport pickup thing is a fantastic idea! If you all can get enough people willing to pick up everyone and drop 'em off that would help with the hassle of the whole shuttle thing. I'd be more than happy to pitch in with some gas money, as I'm sure would anyone else needing a ride.
I have been in contact with a group sales rep and and I am just waiting for him to send me some more info. Hopefully I can tell you all more by tomorrow.

Now, I guess the next thing we need to do is get a list of who's coming, if they're driving or flying, and what their room situation is.
Pezzy-On a recent trip to Orlando,I noticed that the Disney people wore Mickey Mouse gloves and help up shiny signs to find their guests. Would it not be fun to be at the airport dressed as BDHs and holding up even shinier signs? I'd do it.
